Your practice metrics look fine.

That’s the problem.

When I look at the 2024 Gaidge orthodontic practice data, I see something most orthodontists miss. The numbers look acceptable. Case acceptance at 67%. New patient conversion at 81%. Financial metrics above benchmark.

But acceptable means average. And average means you’re leaving serious money on the table.

The Conversion Gap That Costs You Six Figures

Let’s start with case acceptance. The U.S. average sits at 67% according to the latest data. That sounds respectable until you compare it to the 70-80% benchmark.

Here’s what that gap actually means.

Starting just one more patient daily by increasing conversion from 50% to 75% adds $1.3 million per year in revenue to your practice. Even a modest improvement from 67% to 75% translates to hundreds of thousands in additional production.

Your Treatment Coordinator can literally be worth a million dollars per year to your business. But only if they’re trained to convert at that level.

Most aren’t.

The 29-Point Gap Hiding In Plain Sight

Phase 1 to Phase 2 conversion averages just 51%. The benchmark? Over 80%.

That’s a 29-point gap that represents patients who started treatment but didn’t complete their full plan.

These patients already chose you once. They trusted you enough to begin treatment. If they aren’t choosing you a second time, why?

Cost concerns, urgency issues, and unclear treatment value all play a role. But the real issue is how Phase 2 was presented from the beginning.

RiseUP Coaching approaches Phase Two conversion very differently. Parent education from day one. Upfront transparency about the full treatment journey. Pricing strategy that positions Phase 2 as the natural continuation, not a separate decision to reconsider.

This approach doesn’t just meet the 80% benchmark. It exceeds it, adding significantly to practice profitability while creating better patient outcomes.

The Treatment Efficiency Drain

27% of patients are past their Estimated Completion Date. The benchmark is under 10%.

Extended treatment times create patient dissatisfaction, increase chair time costs, and reduce your capacity for new starts. Every patient lingering past ECD occupies a chair that could serve a new case.

Repair visits at 8% versus the under-5% benchmark tell a similar story. More time fixing problems means less time starting new cases and moving existing patients through efficiently.

The Observation Patient Black Hole

Here’s a conversion leak most practices completely ignore.

Starts from observation average just 17%. The benchmark? 25%. But even that benchmark is pathetically low.

These are patients who walked into your practice, met your team, expressed interest in treatment, but weren’t ready to start immediately. Maybe their child is too young. Maybe timing isn’t right. Maybe they need to sort out insurance or finances.

So they go into “observation.”

And then they disappear.

Your follow-up process is archaic. A reminder card here. A generic email there. Maybe a phone call if someone remembers. There’s no systematic engagement. No relationship building. No value delivery that keeps your practice top-of-mind when they’re finally ready.

These patients already said yes to you once. They chose your practice over the competition. And you’re letting them slip away because your observation patient engagement strategy is stuck in 1995.

Every observation patient who starts treatment elsewhere is a conversion you already won but lost through neglect.

What Top Performers Do Differently

Top-performing practices achieve 80%+ conversion rates through systematic approaches to case presentation. They don’t hope for better numbers. They engineer them.

The difference isn’t better marketing or fancier technology. It’s how Treatment Coordinators guide the decision-making process from first contact through same-day start.

Average practices present treatment options and hope patients say yes. Top practices create experiences that make saying yes the natural next step.

They master the consultation flow. They present value before price. They address concerns proactively. They create same-day start momentum that capitalizes on patient excitement instead of letting it cool off over days or weeks.

RiseUP Coaching private clients average 78% conversion rates annually, with most exceeding 80%.

That’s not luck. That’s systematic training that transforms how Treatment Coordinators approach every patient interaction. From the first phone call to the consultation experience to observation patient engagement, every touchpoint is designed to guide decisions and earn commitments.

The Real Cost of Average

Your financial metrics might look solid. Average contract amount at $5,608 beats the benchmark. 20% paid-in-full contracts exceed the target.

But those strong financial numbers make the conversion gaps even more costly. You’re getting good money from the patients who say yes. You’re just not getting enough yeses.

Every consultation that ends with “let me think about it” represents $5,608 in potential revenue walking out your door. Every Phase 1 patient who doesn’t convert to Phase 2 is another $5,000+ you’ll never collect.

But the real cost goes deeper than that single contract.

That patient who walked out? They’re not just taking $5,608 with them. They’re taking their entire network of referrals. The family members who would’ve asked where their kid got braces. The friends who would’ve noticed the results. The coworkers who would’ve requested a recommendation.

Every converted patient becomes a referral engine. Every lost conversion silences that engine before it starts.

And you’re missing the 5-star review that drives future conversions. Online reputation isn’t just marketing. It’s pre-selling your next consultation before the patient walks through the door. Each glowing review makes your Treatment Coordinator’s job easier by building confidence before the conversation even begins.

Multiply those missed conversions across a year. Add the referral multiplier effect. Factor in the lost social proof. Now you see why the gap between average and excellent performance represents seven figures in lost production.

Better Your Best

I believe we can always better our best. That philosophy drives everything at RiseUP Coaching.

These metrics don’t represent failure. They represent opportunity. The gap between where you are and where top performers operate is the exact space where transformation happens.

Your Treatment Coordinators don’t need motivation. They need systems. They need training that transforms how they guide patient decisions. They need to become Sales Rockstars who turn shoppers into buyers through white-glove consultation experiences.

The data shows the problem clearly. Most practices operate in the average range across multiple metrics. Each gap compounds. Each missed conversion costs you.

But here’s what the data also shows: the benchmarks are achievable. Other practices hit them consistently. The difference isn’t luck or location. It’s approach.

Stop Accepting Average

You didn’t build your practice to perform at average levels. You built it to deliver exceptional care and create exceptional outcomes.

Your clinical skills deserve conversion rates that match their quality. Your investment in technology and training deserves Treatment Coordinators who can translate that value into same-day commitments.

The metrics reveal the gaps. The question is whether you’ll accept them or close them.

Stop hoping for better numbers. Start engineering them by partnering with RiseUP Coaching today. 🚀
