AI Is Already Inside Your Practice

Most orthodontic practices are using AI, even if you aren’t openly talking about it with your team. Dental Monitoring analyzes patient images in real time, tracking treatment progress and identifying issues. AI chatbots handle website inquiries. Digital treatment planning supports precision dentistry.

But here’s what AI can’t do: build trust during that crucial consultation moment.

Your Treatment Coordinators sit right in the middle. AI handles some admin work before patients arrive and supports some clinical designing and patient care after treatment starts. But that consultation bridge? That’s pure human territory.

The top-performing TCs I work with ask a completely different question: “I see from your scheduling notes that you’re interested in Invisalign. Tell me why that feels like the best style of treatment for you.”

One question changes everything.

Instead of explaining generalized pros and cons, the TC hears what the patient actually wants. They can ask follow-up questions about lifestyle, habits, and research. Then they present Invisalign as a perfect fit for this individual person, not just another treatment option.

The Numbers Don’t Lie

When TCs master this human-first approach, same-day case acceptance typically increases 20-30 points within 90 days.

The math is stunning. Industry research shows average orthodontic practices convert about 50% of consults, while top practices see conversion rates upwards of 80%.

Bumping conversion from 50% to 75% can add over $1 million per year of revenue to your practice.

That’s not from working harder. That’s from working more humanly.

Money Conversations Transform Too

Before this shift, TCs often approach financial discussions timidly and defensively. They assume patients want the lowest down payment or will think treatment is expensive. They assume the patient will go home to think about it so they give-up on the conversation before it’s really begun.

This means studying the industry beyond their own practice. Understanding what competitors offer. Being able to explain why their solution is better, or preemptively addressing what other practices might say.

“Others will likely tell you this, and here’s why our recommendation differs.”

That level of preparation and confidence elevates trust instantly.

Today’s orthodontic shoppers are getting smarter thanks to AI pre-education. Your TCs need to get smarter too.

Selling Is Helping

Many TCs resist thinking of their position as “sales” because they associate selling with something negative.

Here’s the reframe that changes everything: You must convert a shopper into a buyer before they become a patient.

Selling is helping.

You can’t help someone as a patient until you’ve successfully guided them through the decision to start treatment.

The TCs who embrace this mindset see their impact on conversion as a win-win for both patient and practice. They consider the practice from a business perspective, not just patient care.
